JOB TITLE: Collections Manager
FLSA Classification: Non-Exempt
Time: Part-time | Rate: $21/hr | Salary range: $25-28,000
JOB SUMMARY:
The Collections Manager reports to the Deputy Director/Chief Curator. Oversees the preservation, protection, and physical care of the collection. Consults with museum professionals, scholars, artists, and communities to obtain and exchange information and data regarding the collection and its care. Organizes the Coe Center Collections committee to write, update, and implement the Coe Center Collections Policies. Plans and implements collection care-related programs and activities. Performs regular research via multiple platforms. Updates the Coe Center’s Collections Management System as new and relevant information is obtained. Works with the Deputy Director in researching and obtaining collection insurance and writing collection-related grants and other fundraising opportunities. Assists with installations and deinstallations. Must maintain a high degree of confidentiality.
MINIMUM QUALIFICATIONS:
• Bachelor’s degree in a related field, plus 2+ years of related experience.
• Master or Ph.D. degree in a related field (preferred).
• Experience in art handling and fine art object management.
• Registrar and archival experience, including knowledge of conservation and art preparation.
• Proficient in Microsoft Office Suite (Word and Excel) and database entry.
• Bilingual English/Spanish (or other languages) a plus.
• Present a respectful, positive, and energetic demeanor externally to visitors, the community, and internally to staff, and board directors.
• Comply with all policies and procedures of the Coe Center, especially those involving the safety of fellow employees, volunteers, and visitors.
• Knows and follows relevant OSHA standards.
• Valid NM Drivers’ License and Insurance.
KNOWLEDGE AND SKILLS
• Knowledge of and active interest in historic to present-day Indigenous cultures and art forms; continual research in museology, art history, and current art presentation.
• Demonstrated skill in scholarly research, writing, and current research writing styles, and accurate resource citations (MLA, AP, Chicago, etc. as assigned by Chief Curator)
• Strong interpersonal, planning, and organizational skills.
• Ability to work independently and collaboratively; ability to take the initiative.
• Effective leadership skills with the ability to oversee interns and fellows.
• Detail-oriented with the ability to multitask.
• Excellent oral, written, and electronic communication skills; effective communication skills in group meetings.
• Ability to receive and implement feedback.
• Knowledge of vendors for object display and archival storage; purchase necessary equipment.
• Proficient in FileMaker Pro (CMS) or database equivalent
RESPONSIBILITIES:
• Oversees, maintains, and updates the FileMaker Pro (CMS), online and hard copy records inclusive of program use, inventories, condition reports, provenance, donor information, exhibition and loan information, and object location in a timely and regular manner.
• Oversees, manages, writes, and prepares documents for loans, deeds of gifts, etc.
• Executes research, writes, oversees, and/or implements grants pertaining to the Collection.
• Researches items in the Collection; provide written updates to archives, The Virtual Coe, and related Coe Center projects.
• Professionally photographs items in the Collection or arranges for and oversees professional photography of the items; archives images digitally, physically, and in FileMaker Pro (CMS).
• Remains current on trends related to the care of the collection, registration methods, and other systems relating to the Collection.
• Monitors storage conditions and temperature levels.
• Improves mounts and display apparatuses, purchases framing, and other collection-related materials.
• Prepares Collections Budget and procures supplies needed.
• Arranges insurance coverage for collection and loans.
• Maintains clean work areas, including Collection rooms, and organizes the basement work area; artwork dusting, and other routine cleanings.
• Integrates pest management and tracking systems.
• Responsible for preparation and execution of regular collection artwork condition reporting and annual inventory.
• Represents Coe Center at events.
• Regularly conducts tours of the collection.
• Manages visits to the Collection for the public, including board directors, volunteers, donors, members, vendors, lenders, artists, scholars, dealers, and collectors.
• Creates a Coe Collection internship program with a minimum of two, but up to four students annually.
• Oversees and develops the Partnering Group.
• Assists in the management of the Hands-On Curatorial Program; leads in the absence of the program director; recruits participants (students and schools); teaches students proper handling techniques of the artwork.
• Manages Collections related programs with regard to artist residencies, general programs, and institutional partners.
• Adheres to all OSHA safety requirements; researches, prints, and files SDS forms for all materials; maintains SDS folders for the Collections and Project Space buildings.
ADDITIONAL RESPONSIBILITIES:
• Develops Collection related content for social media (ie. Facebook and Instagram).
• Manages exhibition preparations and installations; may curate exhibitions or projects individually or collaboratively.
• Assists/participates in fundraising programs.
• Packs items for shipping; unpacks items shipped or brought to the Coe Center.
• Other duties as assigned by the Executive or Deputy Director/Chief Curator.
