Administrative Assistant
Southwest Contemporary is a contemporary art publication covering the American Southwest, headquartered in Santa Fe, New Mexico. We are currently hiring a part-time administrative assistant.
As a part of the team at Southwest Contemporary, you’ll be working at the heart of the arts community, facilitating the important work of the publication and working with local and regional businesses, institutions, and organizations. The administrative assistant will support the owner/publisher in client account management, customer service, website moderation, and other varied administrative tasks. The right candidate will be an organizational over-achiever with strong and confident verbal and written communication skills, and a self-starter able to work efficiently and collaborate with a dispersed remote team. While this position is fully remote, strong preference will be given to applicants based throughout our coverage areas (New Mexico, Colorado, Arizona, Utah, Nevada, and West Texas).
Key Responsibilities
Support Client Success:
- Liaise with advertisers and manage ad traffic.
- Create and update detailed client account records.
- Assist the publisher in managing the client ad-buy cycle.
Strengthen Reader and Community Relationships:
- Moderate community arts calendar and classifieds pages and answer related questions.
- Format weekly newsletters.
- Provide customer service to SWC Members and the general public.
Assist Owner/Publisher:
- Provide general administrative support as necessary, including assistance managing schedule, travel, research, and other special projects.
Qualifications, Skills + Experience
- 1–3 years of working experience.
- Ability to work independently.
- Ability to track data and detailed notes.
- Spreadsheet/database savvy.
- Professional communications and customer service.
- Overzealous attention to detail.
- Basic copyediting and proofreading skills.
- Calendar management and ability to meet overlapping deadlines.
- Ability to prioritize while multi-tasking and to switch tasks across different areas of work.
- Management of organizational systems.
- Demonstrates good time management and efficiency.
- Familiarity with databases and/or ability to quickly learn new software systems.
- Experience with Google Apps, WordPress, Airtable, and/or CRMs helpful but not required.
- Experience with Adobe Photoshop and InDesign helpful but not required.
- A personal interest in art, culture, or journalism is recommended, but experience within the arts and journalism industries is not strictly necessary.
